The “HR department”

The HR department, located in room L059, on the ground floor of the Lhomond building, manages  all questions related to the reception of ost-doctoral students, PhD students, fellows, visiting scientists: preparation of contracts and agreements, assistance with accommodation, assistance in obtaining visas, help with administrative procedures,…

Multi-function cards & badges

To obtain and renew a multi-function card, please contact the HR department.
The annual renewal of these cards will also be organised by the HR department.

Reception of visiting scientists

For the laboratory to function properly, the HR department must be informed in advance (a few weeks in advance) of the arrival of a guest scientist. If the arrival of the scientist incurs expenses, this must also be notified to the management division sufficiently in advance.
The HR department can take care of accommodation reservations if they do not incur costs, otherwise they must be made by the management division.
On arrival, visiting scientists must go to the HR department to: get an office, obtain keys or badges for electronic locks, obtain a multi-function card, register in databases (and therefore on mailing lists), open an e-mail account or access to clusters, etc.
Remember to reserve an office space for your guests as soon as possible. The allocation of these visitor offices is (currently) managed by Laura Baron-Ledez (laura.ledez “at “phys.ens.fr).

Reception of students & trainees

The arrival of students or fellows must be notified in advance to the HR department.
A hosting agreement must be drawn up. This must include remuneration if the duration of the internship is more than two months.
Upon arrival, students or trainees must report to the HR department, like visiting scientists and for the same reasons.
The allocation of visiting offices will be managed by the HR department (but currently by Laura Baron-Ledez, see email above), hence the need to declare in advance the arrival of a trainee or student.

Recruitment of PhD students, post-docs & CDDs

Recruitment of doctoral students, post-doctoral students & fixed-term contracts on CNRS contracts must follow the procedure set up by the CNRS via the portal [XXXX] (if this recruitment is financed by funds managed by the CNRS).

Social Actions

CNRS & ENS HR and social actions

The CNRS has set up social actions through its HR department. You will find here the brochure “Reconciliation of life time” of this service.
The ENS and the CNRS have set up a unit of the local works council (CE) (travel offers, visits, cinema tickets, etc). For more information on the committee action, contact: cos-clas“`at “ens.fr.

Insurance

During your missions, you are covered by an insurance policy taken out by your employer (if you have drawn up a proper mission order).

Leave of absence and RTT

Leave of absence and RTT must be declared before they begin:
For the CNRS: on the “Agate” portal. The connection on this portal is made by the Janus login and password.
For the ENS: on the “Hammock” portal. The connection on this portal is made by the identifier and the password of the ENS Intranet.

Time Savings Account (CET): At the end of the year, CNRS agents can manage the time savings account on the “Agate” portal. This account allows them to be reimbursed or to save for future use unused vacation days. This is only possible if a minimum of 21 days of leave has been taken (and declared!) during the calendar year.

Sickness leave

Sickness leave must be declared within 48 hours to the HR department of your employer (CNRS HR delegation Paris B, ENS HR department, SU HR department), by sending the form declaring the sickness leave, and by simultaneously reporting it to the laboratory direction.

Remote work

All members of the laboratory may request to work remotely on certain days. The implementation of remote working must be done in agreement with the head of the relevant staff department and the management of the laboratory.
